Parks, recreation and community education

You wrote the standard. You should be able to see it.

Your agreement says every contracted provider has it handled. enrops is the record those providers keep and share with you: programs, rosters and pickup details today, the rest of your packet set up with our team. You keep your own recreation system.

No cost to your agency.

The situation, said plainly

The requirement is in writing. The proof is in someone else's filing cabinet.

The agreement says the provider handles it.

It says you may ask for proof at any time.

Nobody has the hours to ask thirty providers twice a year.

So it lives in a spreadsheet, a folder and a row of calendar reminders.

None of that is anyone's fault. It's one coordinator doing by hand what should arrive on its own.

The packet

How do parks agencies manage contract instructors?

With a packet and a spreadsheet. The agreement lists what each contracted provider must have on file, the provider signs that it's done, and a coordinator tracks renewals with calendar reminders. The standard is sound. Seeing that it's current, across every provider and every season, is the part nobody has hours for.

Background check on file for each instructor

Where it lives today: The provider's files. You hold a signature that says it's done.

Certificate of insurance naming the agency

Where it lives today: An email attachment, and a calendar reminder to ask again.

Signed agreement

Where it lives today: A folder on a shared drive.

W-9 and business license

Where it lives today: Finance has a copy. You may have another.

CPR and first aid, where required

Where it lives today: Asked for once, at the start.

Rosters and authorized pickup lists

Where it lives today: The provider's own system. You see them when you ask.

What agencies typically ask each contracted provider for. Yours will differ, and we build around the one you wrote.

What you get now

Start with the roster side. It's live today.

  • Contracted providers run registration, payments and waivers on enrops, at no cost to them
  • Rosters carry grade plus the pickup and dismissal details families give at registration
  • Each provider sends its roster to your coordinator from enrops, in the same format
  • Nothing to install, and nothing changes in your own recreation system

Set up with our team through a demo

The rest of your packet, built around your process.

  • Your requirements in one written outline, built from your documents and your agreement
  • How each provider's rosters and required documents reach your coordinator, agreed once and the same for every provider
  • Every provider onboarded by our team, with your agency's name on the invitation

Keep your registration system

Does enrops replace our recreation software?

No. Keep the system you use for your own registration, facilities and memberships. enrops sits on the provider's side: it's the record your contracted providers keep for their programs and share with you. If your agency takes registration for contracted programs itself, we'll show you in the demo how provider rosters work alongside it.

Want enrops to take registration for some of your own programs too? We'll show you that in the demo as well.

If your contracted programs run on ACTIVE Camp & Class Manager today, see enrops and ACTIVE Network side by side on published pricing, refunds and setup time.

The gap this closes

Your own team already goes through your process. The gap is everyone else who walks in.

Your seasonal hires go through HR. Your contracted providers go through a signature. enrops works on that second group: the outside companies and instructors who run programs in your buildings, with your agency's name on the flyer.

Invite your providers

Your providers own the record. You ask them to keep it in one place.

1One message from you

You tell your providers

Let your contracted providers know you're standardizing on enrops for their rosters. Want a smaller start? Begin with providers who are new this season.

2Under 5 minutes, no cost to them

Each provider creates a registration

enrops is free for businesses. A provider names the program, sets the price and publishes a link. Small providers are often replacing a form and a payment link.

3In your coordinator's inbox

You get rosters in one format

Every provider's roster arrives the same way, with pickup details on it. No chasing, no reformatting.

Book a demo and our team does the inviting with you: your agency's name on the invitation, and a person helping each provider get live.

What it costs

What does enrops cost an agency?

No cost to your agency. There is nothing for your agency to buy or install. Providers keep their own records on enrops. Their rosters reach your coordinator from there today, and we set up the rest with your team. If your risk or technology team wants to review how that works, our security page answers their questions.

enrops is free for businesses, so your providers pay enrops $0 per transaction. When a provider takes registration on enrops, families pay a small enrops service fee, included in the price they see first. Common for kids activities and camps. Refunded to the family whenever the registration is refunded.

Program price$240.00
enrops service fee, 3%$7.20
Family pays$247.20
Provider pays enrops$0.00
Your agency pays$0.00

Families who pay by bank pay $244.80. The service fee is refunded to the family whenever the registration is refunded.

Who built this

Built from the provider's side of your agreement.

Dr. Arielle Hammond, Ed.D., spent a decade in public education, leading schools. Her company, Journey to STEAM, is a contracted provider for parks agencies and community education programs in Oregon and Washington, and runs programs at 75+ school sites. She has filled out the packet. enrops is what she built to keep it.

Associations and risk pools

Your members host hundreds of outside providers. Today that runs on signatures.

If your association, risk pool or network works with many agencies, talk with our founder about bringing them on together.

Questions recreation teams ask before the demo

Anything new has to go through IT, finance and legal. Does this?

There is nothing for your agency to buy or install. Providers keep their own records on enrops. Their rosters reach your coordinator from there today, and we set up the rest with your team. If your risk or technology team wants a look, our security page answers their questions.

We already require all this. What changes?

Nothing about the requirement. It stays yours. What changes is how you see it. Today that means rosters from every provider in one format. How the rest of your packet reaches you is set up with our team through a demo.

What exactly would I see?

Today: a roster from each provider, sent to your coordinator from enrops, with the pickup and dismissal details families gave at registration. Provider documents, and how everything reaches you across providers, are set up with our team through a demo. We'll show you the real product on the call.

We already have a recreation management system. Do we have to move?

No. Keep it. enrops sits on the provider's side of the agreement. If your agency takes registration for contracted programs in your own system, we'll walk through how provider rosters work alongside it.

I don't have time to onboard providers. Who does it?

Our team does, with your agency's name on the invitation. Each provider gets a page that explains what you asked for and a first registration that takes under 5 minutes.

Our providers are small. Will they have to pay for software?

enrops is free for businesses. A provider pays enrops $0 per transaction. Their only cost is Stripe's standard processing on the payments they take.

How do providers get paid?

When a provider takes registration on enrops, families pay the provider directly and the money lands in the provider's own Stripe account. If your agency collects registration and pays providers a share, that arrangement stays as it is.

Does enrops run background checks?

No. enrops doesn't run background checks or decide who is eligible to work in your programs. Providers keep using the check your agency already accepts.

Your agreement says you can ask for proof at any time. When did you last have the hours to ask?

Book a demo. 30 minutes, on video, with your packet in front of us. No cost to your agency.
