Camp and class pricing calculator

How does the calculator work out a price?
It prices one program for one term. Costs that stay the same however many kids enroll are added up and divided by your expected enrollment. Materials per child are added on top. That cost per child is divided by one minus your target margin. Every formula is below, with the starting example worked through.

Every wage, fee and enrollment figure in the starting example is made up for illustration. Card processing starts at Stripe's published standard US rate of 2.9% + 30 cents per successful domestic card transaction; your Stripe rates may differ. The example shows why the last two rows matter. At $240 the program needs 7 kids. Set your minimum lower than that and the row turns negative, so raise the minimum, trim a cost or test a higher price in the last field.
How do I price a camp or class?
Start from your costs. List what the program costs to run for one term, including paid setup time and your own admin hours. Divide by the enrollment you expect, which is lower than capacity. Add materials per child, then your margin. Check the result against what comparable programs near you charge.
- Count paid hours. An instructor who teaches for 60 minutes is often paid for 90 once setup, cleanup and travel count. The instructor pay calculator shows what a class costs you in people.
- Pay yourself in the math. Emails, scheduling and parent questions are hours. Give them an hourly value you would accept as a salary. Episode 17 of the podcast walks through cost per student, owner pay included.
- Divide by expected enrollment. Dividing by capacity hides the empty seats.
- Check your market last. Compare with ten programs a family near you would choose between, converted to a price per hour.

How many kids do I need to break even?
Divide your program costs for the term by what one registration leaves you: the price, less card processing, less materials for that child. Round up. That is your minimum enrollment. If it sits close to your capacity, the program only works when it sells out, so change the price or the costs.
Use the number as a calendar tool. It tells you the enrollment at which a class or a camp week is safe to run and the date you need to reach it by. What to do when you are short of it, from merging sections to telling families early, is in when to cancel a class or camp week for low enrollment.
What margin should I aim for?
Pick it on purpose. On The Youth Enrichment Leader podcast, enrops founder Arielle Hammond uses 20% to 30% as her target range for a service business. Margin is a share of the price, so divide your cost per child by 0.80 or 0.70. The calculator starts at 25%.
The margin funds next season's deposits, absorbs a slow term and pays for the scholarship seats you want to offer. A price under your cost per child means you pay to run your own program.
What do families see at checkout on enrops?
Families pay a 3% enrops service fee on each registration, included in the price they see from the first screen. Paying by bank lowers it to 2%. The fee has a $1.99 minimum and a maximum of $14.99 by card or $9.99 by bank, per registration. It is refunded to the family whenever the registration is refunded.
The price families see first is the price they pay. When you set a price in enrops, the builder shows "Families pay $247.20" under a $240 price field, so you know which number to put on the flyer. A service fee paid by the family is common for kids activities and camps.
enrops is free for businesses. You pay enrops $0 per transaction unless you choose to cover the fee for your families, and then it comes out of your payout. Your only cost is Stripe's standard processing. No service fee on donations, tips, gift add-ons or $0 registrations. No per-location pricing.

Should I charge per session or for the whole term?
Price the term, then show the per-session number next to it, because that is how parents compare classes. A $240 term of 12 sessions reads as $20 a class. Term pricing gives you the enrollment count and the cash before the first session. Monthly tuition suits programs that run all year.
The trade-offs are in per-session or monthly tuition for kids programs. For a price a family would feel in one payment, offer a plan: you set how many installments and when they fall, with the same service fee as paying in full. See payment plans for camps and classes.

What should I charge per kid for a class or camp?
Your cost per child at the enrollment you expect, divided by one minus your target margin. In the starting example, $1,320 of program costs across 8 kids plus $15 of materials is $180 per child. At a 25% margin that is $180 / 0.75 = $240 for the term, or $20 a session.
How many kids do I need to break even?
Divide your program costs for the term by what one registration leaves you after card processing and materials, then round up. In the starting example that is $1,320 / $217.53 = 6.07, so the minimum enrollment is 7 kids.
Does the calculator include my own time?
Yes, if you enter it. Put in your admin hours for the term and what an hour of your time is worth. Those hours are a real cost of the program, and leaving them out makes a full class look more profitable than it is.
How does the enrops service fee change my price?
Your price stays your price. Can I use this for a week of summer camp?
Yes. Treat one week as the term. Enter 1 session, the paid hours for the week, the number of counselors as instructors, and the weekly site cost. The per-session price then equals the weekly price.
Does the calculator save or send my numbers?
