Youth theater registration software

Casting closes Friday and four families still haven't paid.

Youth theater registration software takes the audition sign-up, the cast registration, the production fee and the release form in one link. enrops does that for youth theater, musical theater, improv and drama clubs: a season at a time, with the rehearsal dates and performance dates in the confirmation email every family gets.

You have a cast list on a legal pad, a group chat with 30 parents in it and a costume budget that depends on whether the last four families pay by Friday. Tech week is in eleven weeks and it does not move.

One production, start to curtain

How do youth theaters take audition and cast registrations?

As two registrations. A free audition sign-up collects the names, ages and conflicts before audition day. A paid cast registration collects the production fee, the release form and the payment plan once you've cast the show. Both live in one account and both build their own roster.

Audition or no audition, you still need the list first.

A $0 audition sign-up costs a family nothing and costs you nothing: there is no service fee on $0 registrations. Ask for the age, the role they want and the conflicts they already know about.

Running a no-audition company instead? Skip straight to the cast registration and open it the day you announce the show. Everything else on this page works the same.

The production fee is the show's budget.

Scripts, rights, costumes, set, the photographer. Build it into the season price so families see one number from the first screen, and say in the description what it covers.

Families who need to spread it out pay across installments you set, with no interest, plan fee or late fee, and the same enrops service fee split across them. You stop being the person who sends the third reminder.

Every family needs the same eleven dates.

Rehearsal days, tech week, two performances. Write them into the program once and every family who registers gets them in the confirmation email with a calendar file attached.

If you rehearse at a school, pick the district and the school and the rehearsal dates are calculated around no-school days before you publish.

Does enrops sell show tickets?

No. There is no box office, no seat map and no ticket scanning in enrops. Keep the ticketing tool you use for the house. enrops handles the cast side: auditions, registrations, production fees, release forms, rosters, payment plans and the emails that go to every family.

Does it build a rehearsal calendar by scene?

No. enrops holds the program's schedule, the rehearsal days and the performance dates, and puts them in front of every family. It does not break a rehearsal into scenes or track which cast member is called when. Build the daily call sheet where you build it today.

What enrops does own is the part that pays for the show. The full walkthrough is on how it works. If you also run summer theater intensives, see enrops for camps, and if you rehearse inside schools, see after-school programs.

Have these ready and you'll finish in one sitting

1. Your program details: name, dates, price, ages.

2. The bank account you want payouts sent to.

3. Your EIN, or your SSN if you're a sole proprietor. Stripe asks for it to verify your business.

Built by an operator

enrops came out of a company that runs programs in schools.

Journey to STEAM runs enrichment across Oregon and Washington, in buildings it doesn't own, on calendars it doesn't set. A theater season has the same shape: a fixed end date, a roster that has to be right and families who pay in pieces.

Pricing

How much does youth theater software cost?

enrops is free for businesses. Families pay a small enrops service fee when they register, 3% of the program price, included in the price they see first, which is common for kids activities and camps. Your only cost is Stripe's standard processing. Pro is $99 a month.

A $299 season: families pay $307.97, or $304.98 when they pay by bank and save. An audition sign-up priced at $0 carries no service fee at all. Prefer to cover the fee yourself? Turn it on in settings.

Questions theater directors ask

Can I take auditions and cast registrations separately?

Yes, and most companies should. Open a $0 audition sign-up first to collect names, ages and conflicts. Once the show is cast, send the cast registration with the production fee and the release form. Each one keeps its own roster.

What if we don't audition?

Open the cast registration the day you announce the show and let it run until you're full. Everything else works the same: production fee in the price, release form signed at registration, rehearsal and performance dates in the confirmation email.

Can families pay the production fee over time?

Yes. You decide how many installments and when they fall, with no interest, plan fee or late fee. Families on a plan pay the same enrops service fee as families who pay in full, split across the installments.

Can I collect a media release?

Yes. Your waiver wording is yours to edit, so a media and performance release sits inside it and is signed before rehearsals start. Add your own questions to the form for anything else you need on file.

Can I run two casts of the same show?

Yes. Make each cast its own registration with its own rehearsal days and its own price. Two links, two rosters, one account. There is no per-location pricing and no limit on the number of programs.

Does enrops handle ticket sales?

No. There is no box office, seat map or ticket scanning. Sell the house where you sell it today. enrops covers auditions, cast registrations, production fees, rosters, releases and family communication.
